The institutional process, step by step
What actually happens between a district's first look and running software.
1Request an evaluation
Start from the store: each institutional product routes you to the evaluation request channel. Tell us who you are and where you are; that is all it takes to begin.
2Evaluate on your own hardware
You evaluate with a 90-day demo that runs on district hardware and contains synthetic data only. Real features, no obligation, and nothing leaves your network.
3Scope and quote
A conversation about your schools and what you need, followed by a written quote. Because there are no per-student fees, the quote does not creep as enrollment grows.
4Procure the district's way
Purchase order and invoice, the way district business offices work; institutional purchases are never card transactions. For procurement teams, Heronix registrations are verifiable: SAM.gov (UEI P7THEASQ7JU3, CAGE 1ZNP3), the TIPS-USA cooperative under its SBE classification, BidNet Direct in Florida and Georgia, Florida Small Business Enterprise certification, and E-Verify.
5License and terms
One perpetual license agreement. The annual upkeep agreement that accompanies every license covers updates, security patches, and support; the terms of service spell out what it includes.
6Fulfillment
Software and license are delivered electronically, with license activation handled offline on your servers. Installers are code-signed with published checksums so your IT team can verify authenticity before installing, a complimentary USB backup copy ships separately, and physical media is available on request. Product pages carry the specifics.
7Deploy and run
The software installs on district servers, inside the district network, under district control. From then on the upkeep agreement keeps it updated, patched, and supported, and the license never expires.

Forms, coming online
Online purchase for Forms is planned: license terms will be accepted at purchase, the license key will be delivered by email, and the download will be entitled to the buyer. Until then, the 90-day pilot package is requested through the site.
The thirty-second version for your board
The district buys a perpetual software license once. Annual upkeep is included in the license terms and covers updates, security patches, and support. The software runs on district servers, inside the district network. Purchasing goes through normal purchase order channels, with vendor registrations a procurement office can verify. There are no subscriptions and no per-student fees, and the license does not expire.
